To Do List after Your Arrival


Registration of Your Residence (Required for people with the Residence Card)

To do:
1. Visit the city office* within 14 days of moving in.
2. Bring the passport and the Residence Card (Zairyu Card; 在留カード)**, which you receive at the airport Immigration.
*Toyoake city office if you stay in the university dormitory.
**If the "Resident Card will be issued later" stamped at the time of landing, please submit a notification of your residence address, showing the passport instead of a Resident Card.

National Health Insurance

International visitors who stay in Japan over 3 months are recommended to join the scheme. With the insurance, you will be responsible for paying only 30% of the actual medical expenses. (Exceptions apply in some cases.)

To Do:
1. Visit the city office (Medical Insurance Division) at the same time you process the above residence registration. An appointment is not required.
2. Bring the Residence Card (Zairyu Card) and Passport.
3. Make a payment afterward. You will receive the payment bill later.

National Pension

People from the age of 20 to 60 with the Residence Card are obligated to join the National Pension plan.
You will receive the payment requests from the National Pension Office with a booklet for the record. You can make a payment at banks/post offices.

Exemption of Pension:
There is an agreement between Japan and some countries for preventing the double payment of premiums.
-Check if your country is applicable.
-Obtain the Applicable Certificate from the pension system of your home country. (You should complete this prior to the visit).
-Bring the certificate to the Pension Office in Japan.

My Number Card

An individual Number (called “My Number”) is a 12-digit number assigned to individuals living in Japan under the Social Security and Tax Number System. Foreigners registered as residents in Japan will also receive an Individual Number. If you are registered as a resident in Japan, your Individual Number is printed on the notification card that you receive from the city office of your registered address.
Do not throw away your notification card. You must keep it securely.

Renewing Your Residence Card (Extension of Period of Stay)

Before your period of stay is expiring, you need to apply for extension at immigration bureau. The applications are accepted three months before the expiration of your period of your stay.
Submit the necessary items listed below and complete the procedure by the day of the expiration as noted on your Residence Card:

The form is available at Immigration Services Bureaus, and downloadable from the Immigration Services Agency’s website link below.

Please download the Application for Extension of Period of Stay (Excel file).
Fill out forms "For applicant" and send it to Center for International Relations by email.
Forms "For organization part 1 and part 2" must be completed by Center for International Relations.

[2] ID photo (4cm x 3cm)

[3] Passport

[4] Residence Card

[5] If you are a Research student, you need to present a document explaining the research content
( research period, content of detail and the professor’s name and position written)

[6] Certificate of enrollment status 入学証明書(issued by Academic Affairs of Graduate school located at 1st floor of University Building 3)

[7] Academic transcript 成績証明書(issued by Academic Affairs of Graduate school located at 1st floor of University Building 3)

[8] If your academic record is not sufficient and/or if you have special circumstances, you need to submit a letter of reason and a letter of recommendation from your supervisor.
※ If you take a leave of absence for a certain period of time, a letter of reason or a letter of leave of absence is necessary.

[9]A document showing the economic ability to live in Japan (a certificate of scholarship, a copy of bankbook, a copy of part-time withholding slip and or a remittance certificate etc.)

[10] Handling fee (paid at the immigration)
※You may need to submit additional documents from Immigrations Bureau if they deem necessary

[Notes]
・ You will be considered an illegal resident if you overstay your period of stay by even just one day, so be sure to apply for an extension as early as possible.
・ Immigration Services Bureau offices tend to be very crowded around the start of the academic year and long holidays, so it is advisable to apply early during these months.
